General Questions
What hours are you available? No matter what time zone you are in or traveling to, someone is available to help with every detail of your trip. We work day and night, in all time zones, 24/7/365.
Do you offer supplemental lift for aircraft owners?Yes! We have worked with corporate flight departments to fill the gap when a replacement aircraft is needed, whether a second jet is required for simultaneous trips or a trip calls for more range than the current fleet allows. We can often arrange flights on short notice, which helps if your aircraft becomes unavailable due to mechanical issues. Fractional owners can also use supplemental lift by chartering outside their fractional plan, which can stretch their program hours further on future trips.
How do you protect my privacy?Your privacy matters to us. Passenger details and flight itineraries are kept confidential and shared only on a strict need-to-know basis.
What are airport slots? An airport slot is prior permission from the airport and Air Traffic Control to land or depart during a busy period, such as a major event when ramp and parking space is expected to be congested. When your trip falls on one of those dates, your advisor works to secure the slot as part of arranging the flight.
What is the benefit of a dedicated advisor? From takeoff to landing you have a dedicated advisor to help with every detail, and your questions go to a person who already knows your trip.
Why work with us?We love what we do, and we are here to make sure your private charter experience is second to none. Your dedicated advisor works to find the right aircraft for your trip at a competitive rate, and we are available for your questions 24/7/365. Where are you based? We are a U.S.-based charter brokerage headquartered in the Philadelphia region, with team members and affiliates around the world. We coordinate flights from your home airport through our operator network wherever you depart from, including right here across Los Angeles and Southern California. Call us when you are planning your next trip and we will be glad to put together a no-commitment quote. Test us out and get a free quote today!
Who are your clients? We work with a broad range of clients worldwide, each with different travel needs. Our specialties include private jets for leisure and corporate travel, air cargo charter, celebrity and professional sports-team transportation, non-emergency medical transport, and relocation assistance. More services are available, so do not hesitate to ask.
Do you offer shared flights? We arrange completely private flights under FAR Part 135 (or the foreign equivalent), which means we contract with one entity per trip. You are welcome to put a group together, but one person holds the contract, is our point of contact, and takes on the financial and legal responsibility for that flight. Shared charter where strangers buy individual seats falls under a different rule, FAR Part 380, and is not what we do.
Booking & Pre-Flight Questions
Are there luggage limits or recommendations?
Every aircraft has a different baggage compartment size and weight limit, and your bags are stowed in the aft hold or the nose for safety. When you fly privately, let us know your expected baggage weight and size so we can match you to the right aircraft. Soft-sided bags are a good idea if you are trying to maximize what you bring. If you have fragile or oversized items, give us a call and we will walk through the options.
Can you arrange my transportation to and from the airport?
Yes. With enough notice before your flight, we can do the legwork to help you locate and arrange ground transportation through a third-party vendor, whether that is a luxury chauffeured sedan, a stretch limousine, a Sprinter-style van, or even an armored vehicle, to and from Van Nuys, Hollywood Burbank, or any other airport across Southern California.
Do you arrange tours, hotels, or concierge services? We do not directly arrange tours, hotels, or concierge services. We keep our focus on being your charter brokerage. That said, for your convenience we have relationships with outside providers that can help with those extras, and your advisor is glad to point you in the right direction.
Which airports can I depart from and arrive at?
There are thousands of airports worldwide, and each airport and aircraft comes with its own rules. Your aircraft may need a certain runway length to take off and land, and international trips have to route through an airport with customs. Some larger airports handle wide-body jets, while smaller general aviation airports have shorter, narrower runways. When we arrange your charter, we work to set the departure and arrival airports as close as possible to where you actually need to be. One real benefit of private charter is that you can usually land much closer to your destination than a commercial flight would allow, which around here can mean
Van Nuys or Hollywood Burbank instead of LAX.
How do I pay for my private charter flight reservation?
Payment is accepted in the form of a bank wire transfer, ACH transfer, or major credit card. At this time, we do not accept any forms of cryptocurrency or virtual credit cards.
- Bank Wire Transfer / ACH Payment discount: By electing to pay via Bank Wire Transfer or ACH Transfer, you will pay the amount quoted by your advisor, which includes a 5% cash payment discount.
- Credit Card Payments: If you elect to pay via personal or corporate credit card, the 5% cash discount is removed. Additionally, please note that in the event of any cancellation or refund, credit card processing fees and the 5% price difference are retained by Air Charter Advisors as non-refundable administrative costs.
- Incidental Guarantee: In addition to the payment method used for your flight, Air Charter Advisors requires a valid credit card on file as a guarantee for incidentals and operational extras (such as catering, ground transportation, pet cleaning fees, Wi-Fi, or de-icing). A temporary incidental hold (such as a $5,000 authorization) may be applied at the time of booking and released post-flight if no balances remain.
For additional questions regarding payment deadlines, wiring instructions, and cancellation policies, please reach out to your Air Charter Advisor directly or review your executed Charter Broker Agreement: Standard Terms & Conditions.
How do I decide which aircraft is right for me?We will help you decide which aircraft to use for your flight. The variables that help determine the best fit will be based on the trip distance, the number of passengers, the volume of your baggage, and aircraft/runway performance. Our goal is to narrow the options down and send you a list to choose from. You can also browse our
Aircraft Gallery for pictures and specifications on the most popular charter aircraft.
How far in advance do I need to book?It depends on the routing and aircraft availability, but a private charter can often be arranged on short notice, in some cases with as little as six hours’ notice.
What documentation do I need for my flight? The type of ID required will depend on whether your trip is a domestic flight, or if your journey includes any international stops. International trips require a valid passport, and in some cases a visa. Domestic travel may only require a compliant identification such as a REAL ID compliant driver’s license. All documentation required for both domestic and international travel must be presented to the flight crew before boarding.
What happens after I book my flight?Your charter itinerary is delivered by email. It confirms your reservation along with the travel date or dates and estimated departure time, the flight segments arranged for you, the aircraft type, and any other requests you specified when booking.
What happens if there is bad weather?
Mother Nature sometimes throws a curveball our way, with winds, rough air, turbulence, or storms in the flight path. Before departure, your advisor keeps an eye on any weather advisories that could affect your schedule. The aircraft operator and the Pilot in Command hold the final decision on takeoff and landing, and they will work to avoid weather, though unavoidable patterns can still cause delays. If any changes are needed for your safety, you can expect your advisor to reach out as soon as we are aware.
In-Flight Questions
Can I smoke on my flight?
Some people fly private specifically so they can enjoy a cigarette, cigar, or pipe in flight. If that is your preference, no problem, we will find you an aircraft that permits smoking on board. Let us know before booking, since it takes special arrangements.
Do the aircraft have bathrooms?
Private charter aircraft range from 2-seat piston aircraft to 16-passenger heavy jets to 220+ passenger airliners, and generally the smaller the aircraft, the fewer amenities fit on board, including whether there is a restroom. You may hear the restroom called a “lav” or “lavatory.” On larger aircraft it can be a fully enclosed space with a toilet, sink, and room to change; on smaller aircraft it may be semi-enclosed behind a retractable curtain; and on the smallest aircraft there may be a simple seat for emergency use or no restroom at all. Tell us if this matters for your trip and we will factor it into the options.
Can I fly with my pets?
We are very pet friendly, but not all aircraft owners are. Make sure to let us know about your pet prior to contracting. We will need to know the type of pet, your pet’s weight, and breed so we can find a pet-friendly operator and put the arrangements together correctly.
What is a qualified flight crew?
For every charter we arrange, the operator’s pilots have met or exceeded the FAA Part 135 requirements to fly charter. We also confirm the pilots are experienced and current on the specific type of aircraft you will be flying.
What terminals are used at the airports?
At most airports the private terminal is called a Fixed-Base Operator, or FBO. It is like a commercial waiting area but for private passengers only. Most FBOs at the airports we use offer a lounge area, restrooms, and complimentary refreshments; amenities vary by FBO and airport. Some smaller airports use a general aviation building or have minimal facilities, and your advisor will confirm what to expect at your departure and arrival airports.
Who operates the aircraft?
When we arrange your flight, we search for aircraft with minimal repositioning fees at a competitive price no matter where your trip begins, and we present you with options. Once you choose an aircraft, we secure it, and you will see the operator and tail number on your itinerary before the flight. We act as your agent: we do not own or operate aircraft. Every flight we arrange is operated by a FAR Part 135 or Part 121 air carrier (or the foreign equivalent), and that certificated operator holds full operational control of the flight at all times.
Is there Wi-Fi and entertainment on board?
Depending on the size and capabilities of the specific aircraft selected, many private jets offer advanced in-flight amenities. Some features are complimentary, while others incur additional fees.
While not all aircraft feature the items below, we can arrange your charter flight to include them by request (availability varies by aircraft model, service areas, domestic versus international flights, and over-water routing):
- Wi-Fi High-Speed Internet (such as Gogo for domestic routes or Starlink/Viasat for international and over-water connectivity)
- Televisions
- Smartphone Connectivity
- Music and Entertainment Systems
- Coffee / Espresso Machines & Microwaves
Important Note: Because amenities vary significantly by aircraft (smaller light jets may have limited cabin space, lack specialized galleys, or experience signal drops), please notify your dedicated advisor of any must-have tech or catering requirements prior to booking. Any added amenities, special requests, or third-party operational costs will be billed in accordance with your Charter Broker Agreement.
Will there be a flight attendant on board?
Some aircraft require a cabin attendant and others do not. If your flight does not require one but you would like an attendant on board, upon booking your flight please let us know prior to the quoting process if this is something you require on your trip.
